Information we collect

Depending on how you contact us, we may collect your name, phone number, email address, postcode and address information, your relationship to the property, current heating information, property or site details, business details where relevant, energy-usage information you choose to provide, preferred contact information, enquiry notes and the source or campaign that brought you to Forward Eco.

If you progress beyond an initial enquiry, we may also collect information reasonably needed to assess suitability or eligibility, manage the project, prepare or explain a proposal, obtain consent and progress the requested service through assessment, design, installation and completion.

Why we use it

We use personal information to respond to your requested enquiry, assess and qualify the requested service, contact you about that enquiry, manage the customer journey, arrange relevant assessments or project steps, prevent duplicate or fraudulent submissions, measure the performance of our acquisition channels, comply with legal obligations and improve our services.

Our lawful bases

For responding to and progressing an enquiry you have requested, our lawful basis will normally be taking steps at your request before entering into a contract and/or our legitimate interests in operating the Forward Eco service and managing requested projects. Where the law requires consent — for example, certain electronic direct marketing or non-essential advertising technologies — we ask for it separately.

Specialist service and installation providers

Where specialist technical work is required to deliver the service you have requested, we may share relevant information with appropriately qualified specialists or installation providers carrying out assessment, design, technical work, installation or related project delivery as part of the Forward Eco process.

We only share information that is reasonably needed for the relevant stage of your project. The identity of the relevant specialist or installation provider will be made clear as the project progresses where appropriate.

Advertising and technology providers

We may use advertising, analytics, communications, hosting and database providers to operate and measure the service. Non-essential advertising or tracking technologies are not intended to be activated until the appropriate consent mechanism is in place.

Marketing

Submitting an enquiry does not automatically sign you up for future marketing. Marketing consent is optional and is presented separately from the enquiry submission. You can withdraw marketing consent at any time.

Campaign attribution

Where you arrive through a campaign or referral link, we may record campaign parameters, advertising click identifiers, the original landing page and referrer so we can understand how the enquiry reached Forward Eco. These attribution details are used for enquiry administration and campaign measurement.

Cookies and tracking

Essential technologies may be used to operate the website, submit enquiries securely and protect the admin area. Where non-essential analytics or advertising technologies require consent under UK privacy rules, they will be held back until you make a consent choice. How long we keep information

We keep enquiry and project information only for as long as reasonably necessary for the enquiry, project delivery, follow-up, record-keeping, fraud prevention and legal purposes. Non-progressing enquiry records are reviewed for deletion or anonymisation on a retention cycle. Where an enquiry progresses into a project or contractual relationship, relevant records may need to be retained for longer.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase, restrict or object to the use of your personal information, and to data portability. Where processing relies on consent, you may withdraw that consent at any time.

You also have the right to complain to the Information Commissioner's Office (ICO) if you are concerned about how your personal information is being handled.
